Our firm primarily represents nonprofit, tax-exempt, and socially responsible companies. We also represent philanthropists. We are seeking an administrative assistant to join our close-knit team.

The ideal candidate is friendly and welcoming, and someone who values client service as much as we do. We are looking for someone with front office experience. This is a great opportunity to continue learning skills for a lasting and fulfilling career.

The legal assistant is to perform all administrative and logistical tasks including:

•Greeting clients;

•Answering intake calls from our main telephone line;

•Reviewing voice mails and messages;

•Responding to or disseminating messages accordingly;

•Scheduling appointments and confirming meetings;

•Calendaring deadlines;

•Scanning and organizing online and paper files;

•Processing mail;

•Opening and closing files;

•Preparing correspondence;

•Preparing and updating corporate minute books;

•Entering information into client database and case management software;

•Preparing first drafts of legal documents using drafting software or templates;

•Pulling client files for scheduled appointments/conferences;

•Filing corporate documents with Arizona Corporation Commission, the Internal Revenue Service, and other state agencies (will train);

•Arranging for publication when necessary (will train);

•Preparing corporate minute books;

•Assistance with billing and collections; and

•Exploring and seizing opportunities to add value to the position.

Requirements

Beyond having the skills required by the position, we are intent on finding someone who is aligned with our high-energy, positive culture. The ideal candidate will possess the following characteristics:

•Some college coursework and/or paralegal certificate preferred

•Legal assistant experience or relevant front office experience

•Exemplary customer service and phone skills

•Proficient in Microsoft Office products

•Experience with, or willingness to learn, cloud-based apps such as Clio Suite, Click-up, and Dropbox.

•Type 50+ wpm

•Strong work ethic/self-starter

•Reliable attendance, including punctuality

•Highly organized

•Detail-oriented

•Professional demeanor

•Ability to follow procedures

•Ability to multi-task and complete assigned tasks in an efficient and timely manner

•Understanding the confidential nature of our work

*This is an on-site, front office, client-facing position and therefore requires full vaccination against Covid-19.

Benefits include generous PTO including health/dental/vision insurance, group disability insurance, and SIMPLE IRA.

Salary: $45,000+ DOE.
